Regulation of participating in the exhibition and conditions of contract
Article 1 (Definition of Terms) 1. “Exhibition” means 2023 Robotworld. 2. “Exhibitor” refers to an applicant for exhibition such as an individual, company, union, or organization who has submitted an application form to participate in this exhibition. 3. “Host” refers to the “Ministry of Trade, Industry and Energy,” and “Organizer” or “Secretariat” refers to the “Korea Association of Robot industry.” Article 2 (Application and Contract for Participation) Anyone who wishes to apply for the exhibition shall be deemed to have concluded the contract for participation in this exhibition by submitting the specified application form and paying 50% of the fee as a deposit. However, if the exhibition area is fully occupied or if the exhibits are judged to be unsuitable for the exhibition, the organizer may refuse to accept the application. Article 3 (Allocation of Exhibition Area) 1. The organizer assigns an exhibition location to each participant based on reasonable criteria such as exhibition size, application date, fee payment date, exhibits, etc. 2. In case of special circumstances, the organizer may request a change to the exhibition location assigned to the participant. However, participants cannot claim compensation for the results of this change. Article 4 (Management of Exhibition Hall) 1. Participants must make every effort to manage their booth by displaying the exhibits specified in the application form and deploying resident personnel. 2. If a participant's exhibits are different from those specified in the application form or do not conform to the nature of the exhibition, or a participant engages in direct sales without the permission of the organizer or any act that causes damage to the exhibition of another company, the organizer may immediately order suspension, demolition, or removal. In this case, the participation fee will not be refunded, and the participant cannot claim compensation accordingly. 3. If necessary, the organizer restricts access to the exhibition hall for specific people. 4. Participants may not transfer all or part of the allocated exhibition area to another person without the written consent of the organizer. 5. Participants are not allowed to make any changes to the floor, ceiling, pillars, or walls of the exhibition hall, such as nailing or painting, and must compensate the organizer for any damage to the exhibition hall, including restoration of its original state. Article 5 (Payment) 1. Participants must pay a deposit equivalent to 50% of the total participation fee within 7 days of submitting the application, and the fee discount is based on the deposit payment date, not the application date. 2. The balance must be paid by August 31, 2023; if the participant does not pay the balance within the designated deadline, the organizer may terminate the contract. In this case, participants cannot request a refund for the participation fee already paid. Article 6 (Cancellation) 1. If a participant gives up or refuses to use all or part of the assigned exhibition booth, he/she cannot claim a refund for the participation fee and incidental expenses already paid. 2. If a participant wishes to cancel the contract, he/she must submit a written request for cancellation to the organizer 60 days prior to the exhibition (before August 12). In this case, the paid fee will not be refunded. 3. If the organizer cancels the exhibition, the participation fee already paid will be fully refunded to the participant. However, if the exhibition is canceled, changed, or reduced due to force majeure or other special circumstances not attributable to the organizer, no refund will be made. In this case, participants cannot claim compensation to the organizer. Article 7 (Equipment and Exhibits) Participants must import and completely display equipment and exhibits in the allocated exhibition area within the designated deadline. Any additional costs (e.g., additional exhibition hall usage fees) incurred due to the participant's delay in preparation will be borne by the participant. Article 8 (Removal of Equipment and Exhibits) 1. Participants must take out all equipment and exhibits within the designated deadline; any additional costs incurred to the organizer due to the participant's delay in taking out the item will be paid by the participant. 2. If exhibits are taken out during the exhibition date or time, damage may be caused to exhibitors and visitors at nearby booths, so the date and time suggested by the organizer for taking out them must be punctual; Any damages or disadvantages arising from the participant's failure to comply it shall be the responsibility of the participant. Article 9 (Security, Risk burden and Insurance of the Exhibition Hall) 1. The organizer shall provide security service in accordance with the regulations of exhibition hall to protect the safety and property of participants and visitors. However, the participant shall be responsible for the theft, damage, or loss of all of the participant's items, as well as the safety of workers, resident personnel, and visitors in the booth during the exhibition date, including the installation and demolition period. 2. If a participant causes fire, theft, damage, or other accidents intentionally or negligently and causes damage to the organizer or others, the participant shall be responsible for compensation as well as for insurance of the exhibits, etc. Article 10 (Fire Prevention) 1. If necessary, the organizer may enact supplementary regulations not specified in the participation regulations. 2. If necessary, the organizer may request participants to make corrections related to fire prevention. Article 11 (Supplementary Provisions) 1. If necessary, the organizer may enact supplementary regulations not specified in the participation regulations. 2. Supplementary regulations become part of the participation regulations; participants must also comply with KINTEX's regulations. Article 12 (Restoration) 1. If participants carry out construction work in the exhibition hall, they must completely restore the hall to its original state within the period of removal. 2. If the restoration is not sufficient or is not restored within the period, the Secretariat will dispose of it at its discretion; the costs incurred will be borne by the participant. Article 13 (Dispute Resolution) Disputes that arise between the organizer and participants regarding the interpretation of these participation regulations and other disputes regarding the rights and obligations of both parties shall be subject to the arbitration and decision of the Korean Commercial Arbitration Board, and such decision cannot be brought to court. Article 14 (Miscellaneous) When issues related to “2023 Robotworld” arise other than these regulations, the Secretariat’s authoritative interpretation must be followed.
